AI Glossary

If your business handles sensitive client data and is subject to SOC 2 audits, you need a clear, practical plan for using AI tools without breaking your compliance obligations.

What it really means

SOC 2 (System and Organization Controls 2) is a set of auditing standards that applies to companies storing or processing customer data. If you’re SOC 2 audited, you’ve agreed to follow specific security, availability, processing integrity, confidentiality, and privacy controls. When you introduce AI tools—whether it’s a chatbot, a document summarizer, or a customer support assistant—you’re feeding data into a system that may not live inside your own walls. That creates a compliance gap.

I help Orlando businesses understand that SOC 2 and AI isn’t about avoiding AI. It’s about knowing where your data goes, who can see it, and what happens to it after it’s processed. Most AI tools today run on cloud servers, and many of them use your input to train future models unless you explicitly opt out. For a SOC 2 audited firm, that’s a red flag.

Where it shows up

You’ll run into this tension in a few common places:

  • Customer support chatbots – A Winter Park dental practice uses a chatbot to answer patient questions. If the bot logs patient names, appointment details, or insurance info, that data is now in the AI provider’s system.
  • Document summarization tools – A downtown Orlando law firm asks an AI to summarize a deposition. The tool processes the text on its servers, and the firm has no guarantee the data isn’t stored or reviewed.
  • Internal knowledge base search – A Maitland HVAC company builds an AI-powered search for their technicians. If the tool indexes customer addresses or service histories, those records leave the company’s controlled environment.
  • Email drafting assistants – An auto shop in Sanford uses an AI to draft replies to customer inquiries. Those emails may contain vehicle VINs, repair estimates, or payment details.

In each case, the core question is the same: does the AI provider’s data handling match your SOC 2 commitments?

Common SMB use cases

For small and mid-market businesses in Central Florida, I see three practical ways to use AI while staying SOC 2 compliant:

1. Use a SOC 2 compliant AI provider

Some AI vendors have their own SOC 2 Type II reports. They can sign a Business Associate Agreement (BAA) or a Data Processing Agreement (DPA) that aligns with your obligations. This is the cleanest path. For example, a Lake Nona restaurant using an AI inventory tool can check whether the vendor has SOC 2 certification before signing up.

2. Deploy AI inside your own environment

Many AI platforms now offer on-premise or private cloud deployment. A Clermont pool service company could run an AI scheduling assistant on their own servers, keeping customer data behind their own firewall. The trade-off is higher upfront cost and more IT management.

3. Anonymize or limit data before sending it to AI

If you’re using a public AI tool like ChatGPT or Claude, you can strip out personally identifiable information (PII) before pasting text in. A Sanford auto shop could remove customer names and VINs from a repair narrative, then ask the AI to generate a summary. This reduces risk, but it’s not foolproof—you need a clear process and staff training.

Pitfalls (what gets oversold)

Here’s what I’ve seen trip up business owners:

  • “The AI tool is SOC 2 certified, so we’re fine.” Not necessarily. Your SOC 2 controls may require data to stay within certain geographic regions, or you may need to log all data access. A vendor’s SOC 2 report might cover their infrastructure but not your specific use case. Always read the fine print.
  • “We’ll just use the free version.” Free tiers often have the weakest data protections. They may train models on your inputs, store data indefinitely, or lack encryption at rest. For SOC 2 compliance, free is rarely safe.
  • “Our IT guy said it’s fine.” I’ve heard this from a Winter Park dental practice whose IT contractor set up an AI assistant without reviewing the vendor’s data handling. The contractor meant well, but they didn’t understand SOC 2 requirements. Always involve someone who knows both AI and compliance.
  • “We’ll just not use AI.” That’s an option, but it’s increasingly impractical. Competitors will use AI to respond faster, summarize documents, and catch errors. The goal is to use AI safely, not to avoid it entirely.
