GPT is the family of AI models from OpenAI that powers ChatGPT — think of it as the engine under the hood of the chatbot you’ve probably heard about.
What it really means
GPT stands for “Generative Pre-trained Transformer.” That’s a mouthful, so let me break it down. It’s a type of large language model (LLM) trained on a huge amount of text from the internet — books, articles, websites, you name it. The “pre-trained” part means it learned patterns in language before you ever ask it anything. The “transformer” is the architecture that lets it predict what word comes next in a sentence, kind of like autocomplete on steroids.
When you type a question into ChatGPT, GPT is what processes your words and generates a response. It’s not “thinking” or “understanding” in the human sense — it’s statistically guessing the most likely sequence of words based on everything it’s seen. But because it’s been trained on so much data, those guesses can feel remarkably natural and useful.
OpenAI has released several versions: GPT-3, GPT-3.5, GPT-4, and GPT-4o (the “o” stands for “omni,” meaning it can handle text, images, and audio). Each version got bigger, faster, and more accurate. The one you’re most likely to use day-to-day is GPT-4o, which is the default in ChatGPT as of now.
Where it shows up
You’ve probably interacted with GPT without realizing it. ChatGPT is the most obvious place — that’s the chat interface millions of people use. But GPT also runs behind the scenes in:
- Microsoft Copilot (formerly Bing Chat)
- Some customer service chatbots on websites
- AI writing tools like Jasper or Copy.ai
- Code assistants like GitHub Copilot
- Custom apps built by developers using OpenAI’s API
In Central Florida, I’ve seen a law firm in downtown Orlando use GPT to draft initial client emails, a dental practice in Winter Park use it to summarize patient notes, and an HVAC company in Maitland use it to write service descriptions for their website. It’s not magic — it’s just a tool that handles text-based tasks faster than most people can.
Common SMB use cases
For small and mid-market businesses, GPT is most useful for tasks that involve writing, summarizing, or answering questions. Here are the ones I see most often:
- Drafting emails and proposals. Give GPT a few bullet points about a project, and it’ll write a professional email or proposal draft. You still need to review and personalize it.
- Writing website copy or blog posts. A restaurant in Lake Nona uses GPT to draft weekly specials and menu descriptions. They edit it heavily, but it saves them an hour a week.
- Summarizing long documents. A pool service in Clermont feeds GPT customer contracts and asks for a one-paragraph summary. It catches key terms they might miss.
- Answering common customer questions. An auto shop in Sanford uses GPT to draft responses to frequently asked questions about oil changes and tire rotations — then they paste those into their website’s FAQ page.
- Brainstorming ideas. Stuck on a marketing angle? GPT can spit out a dozen options in seconds. Most won’t be great, but one or two might spark something.
The key is to treat GPT like a junior assistant — it’s fast and never gets tired, but it needs clear instructions and a human to check its work.
Pitfalls (what gets oversold)
Here’s the part I wish more business owners understood. GPT is not a replacement for thinking. It’s not a magic button that runs your business. The hype around it has been loud, and I’ve seen people get burned by expecting too much.
- It makes things up. GPT can sound very confident while being completely wrong. This is called “hallucination.” If you ask it for a specific fact — like a legal statute or a customer’s order history — it might invent something plausible but false. Always verify.
- It’s not private by default. When you paste sensitive customer data into ChatGPT, that data goes to OpenAI’s servers. If you’re handling medical records (HIPAA) or legal documents, you need to be careful. There are enterprise versions with privacy controls, but the free tier isn’t one of them.
- It can’t reason. GPT is great at mimicking reasoning, but it doesn’t actually understand logic, cause and effect, or context the way a person does. Ask it to calculate a complex discount or interpret a nuanced contract clause, and you might get a confident-sounding mess.
- It’s expensive at scale. Using GPT through the API costs money per “token” (roughly per word). If you’re generating thousands of responses a day, the bill adds up fast. The ChatGPT subscription is cheap, but custom integrations can surprise you.
I tell clients: use GPT for drafts, summaries, and brainstorming. Don’t use it for final decisions, legal advice, or anything where a mistake costs real money.
