AI Glossary

An AI agent is a piece of software that uses a language model to make decisions and call tools on its own, without needing a human to guide every step.

What it really means

I like to think of an AI agent as a smart assistant that can actually do things. Most AI tools you’ve seen—like ChatGPT or Claude—are just chatbots. You type a question, they give an answer. An agent is different: it can take that answer and act on it.

Here’s the core idea. An AI agent has three parts:

  • A brain (the language model) that understands what you want.
  • A set of tools it can use—like sending an email, updating a database, or checking inventory.
  • A loop where it decides what to do, does it, checks the result, and decides what to do next.

So instead of you asking “What’s the weather like?” and getting a text reply, an agent could hear “Remind me to water the plants if it won’t rain tomorrow,” check the forecast, set a reminder, and confirm it’s done. All without you lifting a finger after the initial request.

Where it shows up

You’ve probably used an AI agent without realizing it. Customer service chatbots that can actually process a return or update your shipping address? That’s an agent. The smart scheduling tool that books meetings across different calendars? Also an agent.

In business software, agents are popping up in places like:

  • CRM systems that can draft follow-up emails and log calls automatically.
  • Help desk platforms that can reset passwords or escalate tickets based on urgency.
  • Inventory management tools that reorder stock when supplies run low.

The difference between a simple chatbot and an agent is action. A chatbot talks. An agent does.

Common SMB use cases

For small and mid-market businesses in Central Florida, here’s where I’ve seen agents make a real difference:

  • A Winter Park dental practice uses an agent to handle appointment scheduling. The agent checks the calendar, finds open slots, sends confirmations, and even sends reminders—all without staff touching it.
  • A Maitland HVAC company built an agent that answers common service calls. When a customer says “My AC is blowing warm air,” the agent asks diagnostic questions, schedules a technician, and sends a prep checklist. It doesn’t replace the tech—it handles the front end.
  • A downtown Orlando law firm uses an agent to sort incoming client intake forms. It reads the form, categorizes the legal issue, drafts a summary, and assigns it to the right paralegal. What used to take an hour of manual sorting now happens in seconds.
  • A Lake Nona restaurant has an agent that monitors reservation platforms, adjusts table availability in real time, and sends waitlist updates to guests via text.

The pattern is always the same: take a repetitive, rule-based task that involves some decision-making, and let an agent handle the busywork.

Pitfalls (what gets oversold)

I’ll be straight with you: AI agents aren’t magic, and they’re not ready to run your whole business. Here’s what I’ve seen go wrong:

  • Overpromising autonomy. Some vendors will tell you an agent can “handle everything.” It can’t. Agents are good at narrow, well-defined tasks. Give them something vague or open-ended, and they’ll make a mess. I’ve seen an agent accidentally delete customer records because it misunderstood “clean up the database.”
  • Tool integration is harder than it looks. An agent is only as good as the tools it can use. If your systems don’t have clean APIs or if data is scattered across spreadsheets, the agent will struggle. You can’t just plug it in and expect it to work.
  • They need supervision. An agent that runs unsupervised can go off the rails. I always recommend starting with “human in the loop” mode—where the agent suggests actions but a person approves them. Once you trust it, you can loosen the reins.
  • Cost can creep up. Every time an agent calls a language model, it costs money. If you set it loose on a high-volume task without limits, your bill can spike fast.

The honest take: agents are powerful, but they’re best thought of as skilled interns—not executives. They need clear instructions, limited scope, and occasional check-ins.

  • LLM (Large Language Model): The “brain” behind most AI agents. It’s the model that understands language and generates responses. Without an LLM, an agent can’t reason or decide.
