Prompt hygiene is the habit of keeping your AI inputs clean — no client PII, no trade secrets, no internal-only docs unless you’ve explicitly approved them for use.
What it really means
Prompt hygiene is just a fancy name for something every business owner already understands: don’t put sensitive stuff where it doesn’t belong. When you type a question into an AI tool like ChatGPT, Claude, or Copilot, whatever you type gets sent to a server somewhere. That server might log it, train on it, or share it with a third party. Prompt hygiene is the discipline of making sure you never paste in anything you wouldn’t want leaked — client names, financial details, internal strategy documents, or proprietary code.
I help small and mid-market businesses in Central Florida get comfortable with AI, and this is the first thing I bring up. Not because I want to scare anyone, but because I’ve seen a dental practice in Winter Park accidentally paste a patient’s full treatment plan into a free chatbot, and a law firm in downtown Orlando drop a settlement letter with opposing counsel’s name into a tool that logs everything. Neither was a disaster — but both were wake-up calls.
Prompt hygiene isn’t about being paranoid. It’s about building a simple, repeatable habit: before you hit enter, ask yourself, “Would I be okay if this showed up on the front page of the Orlando Sentinel?” If the answer is no, clean it up first.
Where it shows up
Prompt hygiene matters anywhere you interact with an AI model. That includes:
- ChatGPT, Claude, Gemini, or any cloud-based chatbot — These tools are convenient, but your input is processed on remote servers. Default settings often allow the provider to use your prompts for training.
- AI features in software you already use — Microsoft Copilot in Office 365, Google’s AI in Workspace, or AI writing assistants in CRMs. Each has its own privacy policy. Some keep your data inside your tenant; others don’t.
- Custom AI tools you build — Even if you use a secure API, the prompts you send to a custom model are still data in transit. If you’re piping in client data from a database, you need to know where that data lives and who can see it.
- Internal company wikis or knowledge bases — Some businesses feed their internal docs into an AI assistant. That’s fine, but only if you’ve explicitly approved which documents are shared and with whom.
The rule of thumb is simple: treat every prompt like a postcard. Anyone along the route can read it.
Common SMB use cases
Here’s how prompt hygiene shows up for real Central Florida businesses:
- HVAC company in Maitland — The owner wants to use AI to draft customer follow-up emails. He pastes in a customer’s name, address, and service history. That’s PII. Better to use a template with placeholders: “Hi [Customer Name], thanks for choosing us for your [Service Type].” No real data needed.
- Pool service in Clermont — They’re using AI to summarize weekly route notes. The notes mention a client’s pool equipment serial numbers and gate codes. Those should be stripped out before the prompt goes anywhere.
- Auto shop in Sanford — The shop manager asks AI to write a repair estimate explanation. He copies the entire estimate, including the customer’s credit card suffix and vehicle VIN. Instead, he should describe the work without identifiers: “Explain why a 2018 sedan needs a new alternator, in plain English.”
- Restaurant in Lake Nona — The owner wants AI to generate a weekly specials menu. She pastes in her supplier pricing sheet, which includes her cost per pound and vendor contact info. That’s internal data. Better to just describe the dish and let the AI write the description.
In every case, the fix is the same: remove anything that identifies a person, a client, or a business secret. Use fake names, generic descriptions, or placeholders.
Pitfalls (what gets oversold)
The biggest oversell I hear is that “AI is completely private” or “your data is never used for training.” That’s rarely true with free or low-cost tools. Even paid enterprise plans have limits. The second oversell is that you can “just trust the tool” to handle sensitive data. You can’t. AI models don’t have a concept of confidentiality — they just process text.
Another common pitfall: thinking that because you’re using a custom-built AI tool, prompt hygiene doesn’t apply. It absolutely does. If your custom tool pulls from a database of client records, and you ask it a question that includes a client’s name, that name is now part of the prompt history. Depending on your setup, it might be logged, cached, or even used to improve the model.
Finally, some vendors sell “zero retention” or “private mode” as a silver bullet. Read the fine print. Zero retention usually means the provider doesn’t store your prompts after the response is generated, but the prompt still travels over the internet and might pass through third-party infrastructure. It’s better than nothing, but it’s not a substitute for good hygiene.
